A Xactimate line-item estimate, the photos that support it, and the ESX file so it can be opened in Xactimate. Line items separate demolition from rebuild, and a short note says why a line is there.

What to send

Photographs, a sketch or room list, moisture readings when available, and any estimate already in the file. Client-provided Matterport or DocuSketch scans can be used to prepare the estimate. Fieldscope does not provide 3D scanning. A site inspection can be scheduled when photographs are not sufficient.

Remote rates follow the size of the file. On-site inspections are quoted. These are estimating fees, not a share of the claim.

About

A Georgetown family, and fifteen years on the loss.

Aaron Ruark lives in Georgetown with his wife and their two kids. He has spent more than 15 years in fire, water, and restoration — on the crews first, then writing the estimates.

From 2009 to 2016, he supervised production crews, completing water extraction, fire and smoke restoration, and mold remediation. From 2018 to 2025, he served as estimating manager, preparing Xactimate and Symbility scopes for residential and commercial fire, water, mold, and storm losses. He is experienced in preparing estimates from client-provided Matterport and DocuSketch scans. Fieldscope does not offer 3D scanning.

He also writes large-loss estimates for high-severity residential fire, water, storm, and structural damage. Certifications: IICRC Water Restoration Technician and IICRC Fire & Smoke Restoration Technician. He grew up here and graduated from Scott County High School.

Before you send the photos.

Do you negotiate with the insurance company?

No. Kentucky licenses public adjusters for claim negotiation. This practice writes estimates and consulting notes. Your contractor, attorney, or a licensed public adjuster handles settlement talks.

Do you do the restoration work?

No. Estimating and consulting only, so the scope is not written by the company that will bill the dry-out.

Can you work from photos?

Yes. The completed file includes a Xactimate line-item estimate, supporting photographs, and the ESX file. Client-provided Matterport or DocuSketch scans can be used for a desk estimate. Fieldscope does not provide 3D scanning. A site inspection is recommended when concealed moisture, a large fire loss, or the finish level cannot be determined from photographs.

How fast is a scope?

Retainer files are turned in 48 to 72 hours. One-off files get a due date before the work starts. Larger fire and rebuild files take longer than a small water loss.
